We are currently seeking an Operations Coordinator to work onsite with the National Institutes of Health in Bethesda, MD.

**TASKS.** The contractor shall:




+ Assure that quality administrative services are provided, on schedule by self-managing tasks independently. Anticipates the needs of the Section Chiefs by being proactive and organized. Demonstrate competencies in multi-tasking, prioritization, and critical thinking required for coordination of multiple simultaneous tasks. Exercises independent and appropriate judgement and discretion in prioritizing and executing tasks in accordance with Section Chiefs guidance. Manages Section Chiefs and lab calendars and schedules meetings/calls. Uses proven calendar management experience and decision-making skills to coordinate meetings and conference calls as directed. In addition, ensure that all meetings are set up through Go-To meeting to allow off campus attendance and recordings.

+ Manage and coordinate all arrangements for official travel for staff of the sections, including arrangements for attendance at conferences, scientific meetings, and trainings. Processes travel vouchers/reimbursements and expense reports accurately and within the specified timeframe. Must ensure that the expenditures are properly documented and tracked in accordance with federal regulations, passport and visa offices.

+ Support labs programmatic activities by scheduling meetings with internal and external stakeholders, reserve meeting space, prepare/distribute agendas, organize/maintain other meeting-related materials, assist with travel and track completion on action items.

+ Prepare materials for the VRC staff that relate to organizing and conducting meetings such as scientific seminars involving NIH or external speakers, and planning and coordination with outside agencies.

+ Perform timekeeping duties; ensure that actions are implemented in a timely and proper manner consistent with NIH and NIAIDs latest policies and procedures.

+ Perform generic office management and administrative support functions such as answering telephone calls, taking/delivering messages, coordinating office supplies, preparing shipments, and obtaining signatures on documents as directed. Follow up with action plans, work products and documents.

+ Manage all incoming and exiting personnel packages (including visa packages) as required, overseeing timely onboarding. Implement the VRC entry and exit procedures. Maintain the labs personnel directory and update as needed.

+ Assist, coordinate, and prepare all materials related to interviews.

+ Track equipment and property orders and work with VRC and NIAID staff to ensure that purchasing, receipt and payment requirements are effectively completed.

+ Assist in gathering data and programmatic needs of the lab to effectively manage space.

+ Coordinate with NIH federal and non-federal employees as well as outside agencies to gather, revise, and submit legal patent related documents on restricted deadlines as well as to manage, prepare, and coordinate all notary legal patent related documents for the Vaccine Research Center.

+ Analyze, manage, and report funding analysis and statistics of costs of the labs budget. Interpret findings and results from funding tracking to the labs.

+ Implement procedures to ensure document version control and archives.

+ Maintain confidentiality of sensitive information.





**REQUIREMENTS.** The contractor must have:




+ Bachelors degree in a related discipline. [Four (4) years of specialized experience plus a high school diploma is equivalent to a Bachelors degree].

+ Minimum of four (4) years of experience in a related field.

+ Strong organizational skills with accuracy and attention to detail.

+ Must be extremely reliable and adaptable with strong time-management skills; ability to prioritize and handle multiple responsibilities with minimum supervision.

+ Demonstrates good judgment, particularly when managing confidential information.

+ Excellent written and verbal communication skills with the ability to be professional, clear and accurate both verbally and in writing.

+ Knowledge of organizational travel, budget and purchasing systems.

+ Proficiency in MS Office Suite (Excel, Word, Outlook, PowerPoint).

+ Ability to work using both Microsoft Windows and Mac OS X systems and experience with SharePoint is preferred.

+ Prior work in a scientific research environment for a large Federal agency is desired. Understanding of NIH, its organization and culture preferred. Knowledge of NIH organizational travel (CGE) and personnel (FPS) systems is highly desired.
