We are currently seeking a **Operations Coordinator** to work onsite with the National Institutes of Health in **Bethesda, MD** .

TASKS. The contractor shall:

+ Manage and coordinate the day-to-day office operations, including, but not limited to problem and conflict resolution, organization and prioritization of tasks; respond to written communications.

+ Manage all appointments, commitments and invitations for the Fellowship Training Director; Update/maintain shared calendars.

+ Manage the Office of Fellowship Training (OFT) email Inbox and answer the OFT main phone. Respond to email and distribute phone messages as appropriate.

+ Work with OFT staff to plan and schedule meetings, workshops, symposia, seminars and similar research-focused events.

+ Work with OFT staff to prepare the relevant documents for workshops and trainings, and certificates for awards and recognition of trainees.

+ Work with staff to determine objectives and requirements; generate format and agenda; organize transportation and travel reimbursement for participants and speakers; make arrangements (e.g. conference rooms, A/V); notify attendees.

+ Process travel orders, to include arranging for flight, hotel, conference registration, auto and other reservations for OFT staff; retrieve airline tickets for staff when necessary, maintain copy of all travel orders, vouchers, and leave forms in the established office file.

+ Process travel orders, to include arranging for flight and hotel, for seminar/workshop speakers, program applicants and awardees when necessary, maintain copy of all travel orders, vouchers, and leave forms in the established office file.

+ Review and process NON-FTE personnel and trainee actions and maintain the trainee personnel case log for tracking and historical purposes.

+ Grant supervisors access to the OITE application system.

+ Remove trainee applications from the OITE application system after selection by supervisor.

+ Orient new staff to the office, databases, and NIMH/NIH computer systems.

+ Design and coordinate systems for communications among staff to facilitate the efficient flow of information relating to projects and program activities.

+ In the executive levels absence ensure that requests for action or information are relayed to the appropriate staff; decide whether executive level should be notified of important or emergency issues.

+ Summarize the content of incoming materials, specially gathered information, or meetings; coordinate the new information with background office sources; draw attention to important parts or conflicts.

+ Compose correspondence such as verification letters for current and former trainees as appropriate.

+ Maintain and update NIMH trainee and Women Scientists Listservs.

+ Coordinate the initiation, development, and closeout of OFT FTE staff PMAPs.

+ Gather and analyze information about processes and programs; prepare reports, letters, and other documents for review and input for programs, policies, and activities.

+ Create and format spreadsheets to analyze information.

+ Maintain records of accountability; oversee property inventory; arrange for disposal of excess property.

+ Serve as Requisitioner-Internal and -External in NBS Acquisition and as a Requester in the POTS system; submit supply, training, equipment, service, and advertisement orders with governmental approval; coordinate with vendors to obtain quotes; ensure receiving of items.

+ Gather, analyze, and prepare justification for administrative request, such as procurement (POTS) and training (LMS) requirements; input requests into NIH databases.

+ Provide administrative support for the submission of annual reports.

+ Update and develop content for web sites and monitor for currency and accuracy of information and collect and share monthly website analytics.

+ Maintain the online OFT Calendar of training events.

+ Coordinate the printing and conversion of paper documents to electronic files.

+ Develop, maintain and utilize various administrative databases.

+ Implement the records management system for the office to ensure proper filing, accountability, storage, and retrieval of files.

REQUIREMENTS. The contractor must have:

+ Bachelors degree in a related discipline. Four (4) years of specialized experience plus a high school diploma is equivalent to a Bachelors degree.

+ Six (6) years of experience in a related field.

+ Experience with program management.

+ Knowledge of preparing NIH travel orders using the NBS/CGE travel system.

+ Knowledge of NIH procurement processes.

+ Knowledge of Microsoft Office Suite (MS Word, Excel, Outlook, PowerPoint, Access).

+ Strong communications skills, both oral and written.

+ Excellent analytical, organizational and time management skills.
