We are currently seeking Operations Coordinators to support the National Institutes of Health in Bethesda, MD.

This is a long-term contract position which offers:

**TASKS/SERVICES:** The contractor shall:

(1) Review FTE and NON-FTE personnel and trainee actions for quality in line with NIH/NIMH guidelines and lead times.

(2) Review domestic, foreign, and sponsored travel orders and vouchers for quality in accordance with established travel guidelines.

(3) Interpret and apply travel regulations and advise employees concerning travel orders and vouchers.

(4) Prepare FTE and Contractor personnel actions for IASB in compliance with NIH/NIMH guidelines and NIMH IRP lead times.

(5) Maintain effective lines of communication with administrative officers and program areas and coordinating administrative functions with assigned areas.

(6) Verify and provide guidance to program staff regarding the proper submission of requests and any needed supporting documentation.

(7) Bring to the attention of the AO, any anticipated problems to avoid or resolve issues in a timely manner.

(8) Process supply orders via POTS with government approval and coordinate with vendors to ensure proper delivery and receiving of items. Maintain supply inventories for the office.

(9) Provide support with timekeeping duties in accordance with policies and procedures. Resolve time and attendance issues for the office.

(10) Performing orientations for all new employees.

(11) Compile and track administrative data; create, maintain, and distribute reports.

(12) Coordinate conference calls, meetings, workshops, and courses for staff; schedule conference rooms, prepare/distribute agendas.

(13) Design and coordinate systems for communications among staff to facilitate the efficient flow of information relating to projects and program activities.

(14) Take notes and prepare minutes of meetings.

(15) Maintain branch file systems for correspondence and projects.

(16) Effectively use the systems designed to fulfill the administrative needs of the organization (i.e. ITAS, POTS, NBS, NIMH Intranet, ASB Shared Drive, SharePoint, NCUD, EDie) and staying current on system changes.

(17) Maintain contacts database; update/maintain shared calendars for multiple staff members.

(18) Perform generic office management and administrative support functions such as answering telephone calls, taking/delivering messages, preparing shipments, and obtaining signatures on documents as directed.

(19) Collect and distribute office mail to the appropriate person or office.

**REQUIREMENTS** : The contractor ideally would have:

(1) Bachelors degree or equivalent in related field. Four (4) years of specialized experience plus a High School diploma is equivalent to a BA/BS degree.

(2) Minimum of six (6) years of experience in a related field.

(3) Knowledge of Microsoft Word, Excel, and Outlook.

(4) Strong communication skills, both oral and written.

(5) Excellent organizational and time management skills.

(6) Demonstrated ability to exercise sound judgement and discretion to independently assess and resolve complex situations and problems.
