We are currently seeking an Operations Coordinator with the National Institutes of Health in Bethesda, MD.

**TASKS.** The contractor shall:

+ Maintain and update calendars and schedules for OSPMO (Office of Strategic Planning and Management Operations) leadership including scheduling, prioritizing and coordinating appointments and meetings; monitor, track and notify staff of changes to schedule; work with other IC and external office parties/assistants.

+ Coordinate meeting logistics, including room and audiovisual reservations; communicate with meeting attendees to solicit agenda items; prepare background materials.

+ Coordinate and provide support for events, including logistics, set up and break down.

+ Coordinate with staff and gather information to support meeting materials and folders; coordinate loading and retrieving of documents and presentations as necessary in SharePoint site and other document management systems.

+ Assist Management Operation Branch analysts with standard operating procedures development and maintenance.

+ Take notes and minutes from various meetings and follow up with action items.

+ Provide support, maintenance and scheduling of the OM Conference Room, including conference and technology set up for meetings.

+ Provide support for suite and Office all-purpose printer, fax, and scanner

+ Coordinate and provide office-level input into various administrative projects, programs and analysis concerning the operations of the Office of Strategic Planning and Management Operations.

+ Update and maintain contact database and spreadsheets.

+ Work with staff on the logistics of award nominations, primarily using e-HARTS.

+ Complete document remediation in compliance with Section 508 Compliance.

+ Maintain space utilization records, inventoried and projections; compile, organize and analyze necessary associated materials.

+ Work with property custodial officer regarding property passes, transfers, and surplus property issues.

+ Working with the Administrative Office, as needed, review and process travel orders in Government travel system, including arranging flight, hotel, conference registration, auto and other reservations; retrieve airline tickets for staff members from the travel office when necessary; maintain copies of all travel orders, vouchers and leave forms in the established office file.

+ Maintain office supplies; collect staff requirements for supplies; prepare purchase requests in POTS for needed items; coordinate local supply store purchases.

+ In coordination with Management Operation Branch Management Analysts, track all mandatory staff training activities for OSPMO Director and IMOM.

+ Assist Operation Branch Management Analysts with managing and maintaining records management.

+ Oversee parking validation.

**REQUIREMENTS.** The contractor must have:

+ Bachelors degree in a related field; four (4) years of specialized experience plus a High School diploma is equivalent to a Bachelors degree.

+ Minimum of nine (9) years of related experience.

+ Expertise in Microsoft Office Suite (MS Word, Excel, Outlook, PowerPoint), MS SharePoint, WebEx, Skype and other collaboration tools.

+ Strong communications skills both oral and written, professionalism, and the capacity to facilitate team collaboration.

+ Ability to multi-task and pay close attention to detail.

+ Excellent analytical, organizational and time management skills.

+ Proficiency in office planning and operations support.

+ Knowledge of problem-solving various office administration procedures.
