We are currently seeking an **Operations Coordinator** to work onsite with the National Institutes of Health in **Research Triangle Park, NC.**



**OVERVIEW.** This is a long-term, open-ended contract position which offers:

**TASKS/SERVICES.** The contractor shall:




+ Coordinate the day-to-day office operations for scientific support, including, but not limited to travel, procurement, updating and maintaining calendars, and scientific/staff meeting scheduling.

+ Prepare of a variety of items such as travel requests, professional service orders, request for sponsored travel (Form 348), outside activities (Form 520), Official Duty Memoranda, training requests, individual/mass mailings, correspondence, reports and various forms.

+ Maintain office records including office procurements and reimbursement procedures.

+ Coordinate scientific meetings, workshops and courses for staff; schedule conference rooms.

+ Develop, maintain and utilize various administrative databases.

+ Note commitments made by executive level staff during meeting and arrange for staff implementation.

+ Independently arrange for staff members to represent organization at scientific conferences and meetings.

+ Update and maintain shared calendars; establish appointment priorities or reschedule appointments.

+ Compose correspondence requiring some understanding of technical matters within the program.

+ Design and coordinate systems for communications among staff to facilitate the efficient flow of information relating to projects and program activities.

+ Read outgoing correspondence for executive level approval and alert writers to any conflict with the file or departure from policies or executive level viewpoints; make recommendation to resolve problems that arise.

+ Ensure that requests for action or information are relayed to the appropriate staff; decide whether executive level should be notified of important or emergency supervisory issues.

+ Summarize the content of incoming materials, specially gathered information, or meetings to assist executive; coordinate new information with background office sources; draw attention to important parts or conflicts.

+ Set up and format spreadsheets to analyze information.

+ Establish, support and monitor web-based meetings.





**REQUIREMENTS.** The contractor must have:




+ Bachelors degree in a related discipline; four (4) years of specialized experience plus a high school diploma is equivalent to a Bachelors degree.

+ Minimum six (6) years of experience in a related field.

+ Expertise in Microsoft Office Suite (MS Word, Excel, Outlook, Access)

+ Excellent communication skills, both oral and written.

+ Knowledge of organizational travel, personnel and purchasing systems.

+ Excellent analytical, organizational and time management skills.
