JOB DESCRIPTION - Order Management Specialist

SUMMARY:

The Order Management Specialist is responsible for analyzing, processing, maintaining and responding to customer sales orders and inquiries. He/she will be part of the order fulfillment operations team and the primary liaison with Sales / Business Development Ops (BD). Key responsibilities will be timely and accurate order entry into ERP system, which will consist of controlling and validating customer purchase orders to quotes, validation of T&C-s and Master Service Agreements adherence. Additionally this person will help drive process improvements within the order entry and order fulfillment area, working closely with product management and supply chain to monitor and manage order fulfillment. This position will report to the Associate Director of Supply Chain operations.

RESPONSIBILITIES:

- Provide quoting assistance to Business Development team as required in Salesforce.com

- Independently generate quotes for -build-to-stock- products within Research Enzyme Business (REB)

- Process quotes and orders through Great Plains (GP) and other supporting systems

- Main point of contact between BD and Codexis Operations (post sales), and available to manage customer communication as Sales see fit

- Setup new customers in GP; work with Finance to conduct credit check as required

- Validate that all terms and conditions are consistent between the Codexis Quote and Customer Purchase order prior to entry into GP

- On-line E-store order processing and management

- Manage order changes in ERP as required

- Provide order confirmation, tracking information and any other customer service information to customer, e.g. provide required documents for the customer to apply for import permit.

- Track sales orders, and work closely with Supply Chain group (manufacturing/fulfillment/shipment) to ensure timely delivery of product

- Lead meetings and provide reports on backlog, order processing, inventory positions and related activities to the operations and management team

- Partner with order fulfillment team as needed to process non-shippable items to invoice status

- Support accounting with problematic invoicing, ensure timely invoicing to customers

- Perform miscellaneous data entry to support departmental goals and requirements

- Help develop and/or revise department SOP-s in support of business requirements

- Work with Management to develop standard performance metrics

- Provide fully cross-trained back up to Logistics Specialist and Manufacturing Planner for vacations, unplanned absences etc.

- Proactively establish and revise Codexis order entry procedure and policies to drive business efficiency and provide back-up systems and redundancy for absences

REQUIRED SKILLS AND QUALIFICATIONS:

- Bachelor-s degree or related experience

- 2+ years- experience in order management/customer service role (pharmaceuticals / biotechnology industry experience is a plus)

- Enterprise Resource Planning (ERP) and experience required; experience with Microsoft Dynamics Great Plains system preferred

- Salesforce.com or other Customer Relationship Management (CRM) system experience a plus

- Advanced skills in Excel and Tableau for reporting and analyzing information

- Must demonstrate ability as a self-starter with proven ability to identify system improvements, prioritize effectively, achieve commitments and deliver results

- Capacity to work with cross-functional teams and independently as needed

- Demonstrated ability to work with all levels in the organization

- Excellent communications skills, oral and written, as well as presentation and facilitation
