**Job title: Payroll Manager**


**Reports to: Reward and People Services, North America**


**Function: People Services**


**Sub Function: People Services Operations**


**Location: People Services Centres North America**


**Job purpose:** Manages the day-to-day operations for the payroll department for a large multi-state organization with US and Canadian employees. Utilize automated time and attendance software and programs in day-to-day operations. Handle general inquiries regarding payroll and time/attendance. Perform a variety of functions in preparation, distribution and reporting of payroll, ensuring compliance with all applicable regulations and laws. Balance weekly and/or monthly payroll ledger, research exception items, and take corrective action. Work closely with technical teams to implement process improvements, test system changes, and lead special projects within the payroll department. Work closely with Centers of Expertise to implement process changes, new employee benefit and reward offerings and other changes affecting payroll. Documents payroll processes and procedures; may train payroll department staff. May back up those who perform specialized tasks or activities such as Canadian functions, stock option exercises, bonus payments, imputed income recording, SEC document filing, or sales commission payments.


**Key accountabilities and decision ownership:**


+ Manage communications from Payroll (Direct Deposit sign-up, payroll pay dates, policies, and associated calendars, timesheet submission guidelines, and tax election change processes)

+ Manages the preparation of biweekly payrolls for hourly and salaried employees in an accurate and timely manner.

+ Prepares bi-weekly, semi-monthly, monthly, quarterly, and year-end reports (gross payroll, hours worked, accruals, tax deductions, benefit deductions, etc.).

+ Maintain Payroll system updates including SUI tax rate changes or general system changes.

+ Serves as the main payroll liaison for the yearly financial audit and oversee the collecting of audit information and functions as the point of contact for payroll related audit questions.

+ Maintains internal controls to ensure the integrity of the Payroll system.

+ Maintains a working knowledge of labor, human resources and operational issues related to the payroll area and interfaces.

+ Works closely with Reward COE to ensure coordination and accuracy of all benefit/retirement savings deductions.

+ Responds to inquiries from employees regarding deductions, payments, allowances or discrepancies in pay.

+ Provides reports so that the reconciliation, remittance and reporting for state, federal and provincial tax is completed in accordance with government deadlines.

+ Manages the issuance of the annual W2s, T4s and any other payroll related forms for income tax.

+ Stays abreast of changes in federal/state/provincial legislation affecting payroll.

+ Create a cohesive team by providing leadership that engages all staff, including the clear establishment of performance expectations, coaching, performance management, career development, reward and recognition, hiring, and positive employee morale.

+ Protect company proprietary and confidential information and maintains strict confidentiality of data.

**Skills, know-how and experience:**


**Must have:**


+ Broad knowledge of the payroll field including experience with federal, local, multi-state and multi-country payroll tax laws and automated payroll and time-keeping systems.

+ Experience using SAP Payroll and Kronos Workforce Ready.

+ Strong in program management execution, results driven, and ability to hold team accountable for end results setting appropriate milestones along the way to validate progress.

+ Strong leadership skills, leading by example, driving employee commitment through actions, empowering employees to reach their full potential.

+ Ability to adapt to change and/or meet stated or recurring deadlines.

+ High accuracy rate

+ Strong mathematical aptitude

+ Intermediate to Advanced Excel skills

+ Good verbal and written communication skills

+ Ability to deal with difficult conversations and interactions with colleagues Fluent in English

+ Able to anticipate and independently solve problems, troubleshooting, and initiative to resolve internal customer concerns

+ HR related experience with experience working in a Shared Service Center


**Preferred:**


+ Bachelors degree or equivalent experience preferred

+ 5+ years of relevant payroll experience

+ Certified Payroll Professional (CCP) desired.

+ Experience using ADP Global View

+ Knowledge of HRIS, time and attendance and case management systems

+ Able to anticipate and independently solve problems, troubleshooting, and initiative to resolve internal customer concerns

+ HR related experience with experience working in a Shared Service Center


**Preferred:**


+ Bachelors degree or equivalent experience preferred

+ 5+ years of relevant payroll experience

+ Certified Payroll Professional (CCP) desired.

+ Experience using ADP Global View

+ Knowledge of HRIS, time and attendance and case management systems


**Technical / professional qualifications:**


+ Appropriate professional HR qualification preferred
