**Job Description**


One of the leading Oil and Gas companies off the Beltway and Westchase area (77042) is looking to hire a CONTRACT Program Coordinator / Administrative Assistant for their Educational Programs Division. Note that this is a 1 to 2-month project which could be extended to 6 months, so flexibility is required. Standard office hours is Monday thru Friday from 8 AM to 5 PM. Pay is $16 to $19 hourly based on experience and skill set.


At least 3 years of office and clerical experience, as well well proficiency with SAP is a must.


Logistical & Administrative Support:

- Coordinate with internal stakeholders, local universities, embassies and ministry of education to prepare for annual intake projects.

- Monitor students- files and ensure physical and electronic files are up to date. Conduct annual audit.

- Facilitate the administrative services related to SSP students.

- Provides administrative support to the Student Scholarship Program, coordinates meetings, mailings, order supplies, catering, etc.

- Assist management and advisors to execute various annual events, conferences, workshops, meetings, presentations, and related travel needs.

- Assists with admission process including preparing and sending application packets and various other related tasks pertaining to Foundation Year.

- Participation in various department projects.


Benefit Administration:

- Process student financial, medical, travel, and all other student benefits in accordance with program policy.

- Act as Administrator of student health insurance program and identify opportunities to improve student wellness in the region to ensure company takes preventative measures.


Communications & Networking:

- Maintain an extensive network of internal and external contacts to ensure that the local educational program is optimally placed to deliver program objectives

- Provide reports on overall student and program performance to line management.

- Provide on time support to students on matters related to housing, finance, insurance, enrollment, or other issues associated with students- non-academic needs.

- Serve as a backup contact for students when advisors are traveling and unavailable

- Serve as regional communications liaison

Continuous Improvement:

- Analyze performance of existing systems, processes, guidelines, perform required upgrades, ensure corrective actions are taken to enable best-in-class service offerings

- Continuously exploring opportunities for improvements to have best efficiency and effectiveness


**Requirements**


3 years in an administrative function with exposure to customer service and preparing communications. SAP Proficiency is required.

- Knowledge of HR fundamentals

- Possessing teamwork spirit

- Experience working with institutions of higher education

- Extensive experience with Microsoft office

- Ability to multitask and accomplish many administrative tasks quickly and thoroughly

- Knowledge of human resources practices

- Strong communication and presentation skills

- Knowledgeable with policies, procedures and best practices in the area of employee services

- Quantitative and analytical skills

- Time management and planning
