JOB TITLE: Project Administrator

PAY RATE: *$13-16/h (depending on relevant skills & experience)

*starting pay, pay-rate will be revisited upon employment offer, should the client extend an offer after trial/temp period

SCHEDULE: Monday-Friday from 8a-5p (Full-time; 40 hours/week)

LOCATION: Midway, FL

STARTS: ASAP (tentatively April 2nd)

HIRE TYPE: Temp-to-*hire (long-term/permanent opportunity)

*if after your trial period (apx. 1-4 months), the company is pleased with your performance and decides to convert you to their payroll -you will then become eligible for employment benefits they offer their full-time staff and can re-visit the pay-rate for the position to review possible increase

REPORTS TO: Resource Manager

OVERVIEW: Busy Construction Company seeks Project Administrator. The basic function of the Project Administrator is to provide direct administrative support to the Resource Manager and additional Project Management Staff as needed. The Project Administrator reports to and is directly accountable to the Resource Manager. Work will be in a climate-controlled office. Workdays will be 8 hours per day, 8am to 5pm with a 1-hour lunch break.

DUTIES/RESPONSIBILITIES:

-Monthly billing of construction projects for company equipment usage

-Adding and transferring equipment using Toolwatch software

-Preparation of subcontracts, purchase orders and change orders

-Review and approval of subcontractor certificates and insurance

-Prepare outgoing correspondence

-Prepare owner pay applications

-Organize and file all project related paperwork

-Follow-up with subcontractors for non-returned subcontracts, purchase orders, insurance, bonds, etc.

-Upkeep of company vehicle equipment logs

-Upkeep of company equipment files

-Be at work on time every work day

-Back-up for receptionist at lunch time

-Other miscellaneous duties as needed

REQUIREMENTS:

*2 or more years- experience working with a Construction company/office, is highly preferred

*2 or more years- experience working as an Administrator OR in an Executive Assistant position, OR in an administrative support position (w/Construction company), is highly preferred

-Strong computer skills & Proficiency in Microsoft Office Suit (specifically: Word & Excel)

-Excellent communication skills (both oral and written)

-Dependability is critical

-Position requires advanced skills with Microsoft Excel

-Position requires intermediate computer skills Word and Acrobat

-Position requires excellent organizational skills

-Position requires the working knowledge of general office equipment

-Position requires the ability to type 55 cwpm

-Position requires the ability to communicate with and work with all types of people

-Position requires good telephone etiquette

-Thick skin (must be able to act professionally in construction environment)

-Experience working with a multi-line phone system

-Interest in working in the position long-term (12 months or more)

*May consider candidates without the preferred experience, if they possess a good attitude/outlook for life and a high aptitude for learning
