This role requires above average communication, organization and critical thinking skills. The candidate must have previous knowledge and experience with supporting IT infrastructure projects. A self-starter, with ability to track and manage multiple tasks and competing priorities, is required. The applicant must be well organized, with advanced task tracking and status reporting skills. The Senior Project Coordinator participates in relevant portfolio projects, manages minor projects, provides daily support in maintaining project documentation, coordinating meetings, produces project reports, and provides other general department support.

The Senior Project Coordinator is responsible for assisting in the implementation of projects and programs assigned to the team in a manner that supports the Providence Health & Services mission, integration and collaboration across the health system, and meets the organizational objectives.

This position reports to the Portfolio Leader, IS Portfolio & Project Management Office (PPMO), and must establish and maintain effective working relationships with staff at all levels in Providence Strategic and Management Services (PSMS), as well as with other Providence Health & Services staff, vendors and agents, and others.



+ An Associates degree OR equivalent education and relevant experience in information technology, project management, healthcare, or business or clinical operations.

+ Education in Project Management methodology based on Project Management principles preferred. Experience

+ The position requires a minimum of four years demonstrated work experience in organizing, facilitating, and assisting in planning a project or business/clinical operations.

+ Ability to assimilate a wide variety of detail and convey it to appropriate persons for action.

+ Basic to intermediate understanding of project management methodology and practices.

+ Ability to quickly understand and align with department and organization priorities and practices to support the department strategic priorities and goals.

+ Demonstrated written and oral communication that is timely, accurate, professional, consistent and targeted to the appropriate audience.

+ Demonstrated ability to effectively organize, prioritize and follow thru on assigned tasks and documentation with accuracy and attention to detail and meet deadlines.

+ Demonstrated ability to adapt well to changing environment and respond quickly to requests and needs of environment.

+ Ability to create original forms and instructions.

+ Demonstrated independence, requiring minimal supervision to accomplish assigned task or projects and manage time effectively.

+ Ability to use special equipment: standard office equipment such as computer with various software applications, printer, fax, photocopier, pager, scanner, cell phone, and others.

+ Proactively identifies and participates in staffing and department quality improvement projects.

+ Develops process maps and recommends process improvements to support increased efficiencies.

+ Completes literature searches and small research projects. Management

+ Manages small or low complexity project tasks with minimal supervision.

+ Coordinates all aspects of capital purchasing, appropriate operational expenditures, and assists with managing the project budget.


+ Develops, maintains and distributes program/project information and documentation using standard documentation. May include meeting agendas, minutes, scheduling meetings, status reports, share department documents, SharePoint, PR3 and others.

+ Performs assigned individual project tasks and modules and contributes to completion of team tasks accurately and timely.

+ Conducts training for customers on projects as appropriate.

+ Develops communication materials such as newsletters, emails, brochures and others by working closely with communication and marketing partners.

+ Runs reports and analyzes data through PR3 software to support specific project work.

+ Plans, coordinates and facilitates for multiple project meetings.

+ Other duties as assigned.
