Kelly Services is currently seeking a **Records Management Analyst** for one of our top clients in **Gurabo, PR**



**Summary:**

The Analyst will be responsible for performing tasks that support the Company Records Management Program. This position is responsible for managing the site compliance in the areas of Storage Management, Record Destruction Process/Site Shredding Program, Clean-up Activities, Records Management Training Support, Vital Record Protection, and Program Recordkeeping Documentation at the following sites: Company and the Vital Records Program.



**Responsibilities:**




1. Provides System Administrator duties and ensures RM databases and files are regularly maintained in the following company used systems and applications: Iron Mountain Connect, Digital Record Center, E-University

2. Provides end user support and training on systems used by the Records Management Program to include the following:

3. Coordinate and support records management trainings to ensure on-going compliance with Records Management Policy including: New Hire Orientation, Coordinator Records Management Training (new and refresh), E-University assignments, IM Connect

4. Coordinate web-based training for site/affiliates and department records coordinator meetings

5. Develop Records Management Awareness Information

6. Provide Metrics as required on training program compliance

7. Monitoring the following processes associated with the off-site storage operation:

8. Checked Out Boxes

9. Retrieval Orders

10. Pickup Orders

11. Data Entry verification of all boxes

12. Boxes due for destruction

13. Conduct Research and report findings to the requestor

14. Manage activities associated with archiving of records and provides instructions and guidance to coordinators and users.

15. Maintain and control legal documentation as required

16. Adequately file program documentation in order to demonstrate compliance

17. Communicate recommendations made by end-users for changes/modifications to Record Retention Schedules.

18. Manage and Coordinate annual records clean-up activities

19. Maintain self-up-to-date with new policies and procedures, trainings, and records management.

20. Participate in ARMAs Workshops and seminars

21. Participate and support records compliance audits

22. Participate in internal meetings as required.



**Qualifications**




+ Bachelor Degree: Business Administration or Science

+ At least 3 years of experience in a similar position

+ Proficient in the following Microsoft Office Suite of programs including Word, Excel, PowerPoint, Access, Project and Outlook

+ Fully Bilingual (Spanish and English)

+ Strong experience in documents management and pharmaceutical industry regulations.

+ ARMA Professional Association membership preferred
