Description and Requirements

Overview:

The Recruiting Coordinator plays a critical role on the Talent Acquisition team by supporting interview scheduling, travel coordination, on-boarding logistics, reporting and other talent acquisition projects. The ideal candidate is detail oriented, professional and able to successfully juggle multiple priorities simultaneously, while ensuring a positive candidate experience.

Key Responsibilities:

  • The individual plays a key role in delivering a positive candidate experience by working closely with the candidate and recruitment team to ensure all interviews are accurately scheduled in a timely manner and confirmed with both the candidates and all on the interview team.
  • Complex scheduling with all levels of stake holders across the organization and different time zones throughout the recruitment life-cycle including travel, and ability to look at alternative interviewing options (phone, video, in-person) in order to schedule interviews in a timely manner
  • Based on KPIs timely, accurately and professionally send recruiting-related correspondence; e.g., schedules, applications, forms, company related information, letters, offer letters, agendas, and WCG company swag as required/requested.
  • Document, track, maintain and update applicant records and status of engagements in the applicant tracking system
  • Conduct research and provide support for target recruitment activities, including offsite interview accommodations, reservations, invoice processing, etc.
  • Provide responsive and proactive customer service via telephone, e-mail, etc.
  • Perform various administrative duties that support the recruiting function, including track requisition approval processing, expense reimbursement, referral documentation and tracking, etc
  • Post positions via applicant tracking system and other web recruiting sites, manage ongoing posting activity  
  • Maintain and update recruiting related reports and PowerPoint presentations, etc.
  • Occasional travel to other company locations and local recruiting events as needed

Qualifications:

  • High School diploma or equivalent required, with a Bachelor degree preferred.
  • At least 2 to 3 years prior experience managing complex schedules and calendars.
  • 2 years of prior experience scheduling for recruitment/staffing required.
  • 2+ years of experience working with various stakeholders at all levels
  • Understanding of applicant tracking systems required.
  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint) required.
  • Advanced organizational skills and strong attention to detail necessary.
  • Ability to effectively manage and prioritize multiple tasks.
  • Ability to maintain confidentiality.
  • Possesses superior written and verbal communication skills.
  • Attention to detail, ability to quickly re-prioritize and/or multi task in a fast paced, change driven organization with global industry leaders. 
  • Judgment to know when to work independently and when to ask questions or alert management.
  • Prior experience working in a matrix environment; ensuring accuracy and timeliness.
