Maintain up to date clinical schedule for clients and staff, ensuring that clients are appropriately scheduled for treatment sessions with high degree of accuracy, maximizing client schedule requests.

Ensures the clinical schedule accurately reflects vacation, meetings, training, cancellations, make-up sessions, parent coaching sessions, workshops. Etc.

Answers, responds to incoming phone calls and email messages from families needing to schedule, reschedule or cancel treatment sessions or other appointments; follow up to reschedule and missed appointments, and confirms appointments as directed.

Proactively notifies families, staff, and appropriate management of any cancellations or other scheduled changes. Enters/ Updates client data into the electronic scheduling system.

Ensures that treatments sessions are accurately entered into electronic system before submitting to the billing department.

Reports to, takes direction from and collaborates with Scheduling Manager in making seasonal scheduled changes. Performs all other duties as assigned to maintain operational efficiency.

Maintains updated list of daily scheduling requests.

Collaborated with scheduling staff, Cancellations Team, Regional Directors and Supervisors.


Minimum 1 year of medical/educational scheduling experience.

Minimum of 2 years of college coursework completed.

Excellent computer skills and knowledge of MS Excel, Word, Outlook, ability to use new computer systems and iPads, e.g. Google Docs and scheduling systems and workflows.

Excellent customer service experience, written and verbal communication skills including phone and email- etiquette.

Ability to react to day-to-day operational requirements in a professional and timely manner, prioritizing and multi-tasking to meet deadlines.

Excellent attention to detail, judgment and follow up skills.

Ability to take initiative, collaborate in a Team environment.

Ability to use active listening and problem solving skills to provide exceptional customer service.


Experience interacting with children with special needs, and their parents/caregivers.

Experience in Educational and Administration a plus.

Associates Degree in business, accounting, finance, administration or management preferred.
