**Job Description**

This position will be at the client's national user facility, annually attracting approximately two thousand researchers from around the world to conduct unique scientific experiments based in Menlo Park, CA!

He/she interacts with a diverse constituency, including staff in various levels of management both within and outside of the client such as the DOE site office and headquarters staff along with senior managers from collaboration partners. Reporting to the Sr. Finance Manager, the Senior Administrative Professional provides a broad range of administrative support to the Project Director, Deputy Directors, and System Managers, which includes managing the Project calendar and the daily calendar of the Project Director and project team, preparing high level presentations, reports and studies as well as planning, scheduling and managing logistics related, to Project reviews, meetings, workshops, video conferences, and site visits, including travel assistance to external reviewers. The Senior Administrative Professional also communicates with the administrative staff in the Director-s Office, other directorates and the Site Office for the purpose of scheduling meetings and relaying information, etc.


Administer and support programs or functions under general supervision.


- Implement, administer and evaluate day-to-day activities of the unit, function or program. May act as key contact.

- Collect and analyze data, create reports, review and explain trends; formulate and evaluate alternative solutions and/or recommendations to achieve the goals of the program or function.

- Analyze and interpret policies; develop, revise and implement procedures.

- Represent the program or function within the department, unit or school. May also represent the program or function to external constituencies.

- Participate in outreach activities that may include communications, events, training, conferences, and/or fundraising.

- May oversee budgets and monitor and approve expenditures.

- May direct staff to perform various tasks and assignments. May also supervise staff.



Education & Experience:

Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.

Knowledge, Skills and Abilities:

- Demonstrated ability to prioritize own work and multi-task.

- Demonstrated excellent organizational skills.

- Demonstrated ability to take initiative and ownership of projects.

- Ability to communicate effectively both orally and in writing.

- Ability to routinely and independently exercise sound judgment in making decisions.

- Demonstrated experience working independently and as part of a team.

- Relevant subject matter knowledge.

- Ability to direct the work of others, for jobs requiring supervision.

Preferred qualifications if any:

- Experience working in a university, research or laboratory environment

- Experience with administrative policies and procedures within DOE or other comparable government agencies

- Proficiency in the use of office applications, including MS Office (Word, Excel, PowerPoint, Outlook, Access, Visio, and Project), Adobe Acrobat, and SharePoint, as well as the ability to learn new software quickly

- Demonstrated ability to interact effectively with a wide range of people with tact and diplomacy

- Proven ability to exercise a high degree of discretion and independent judgment, and handle matters of a highly confidential nature


- Constantly perform desk-based computer tasks.

- Frequently stand/walk, sitting, grasp lightly/fine manipulation.

- Occasionally use a telephone.

- Rarely lift/carry/push/pull objects that weigh 11-20 pounds.
