**JOB SUMMARY:**

Under limited supervision, assist with directing the operational, financial, personnel and planning functions of a complex designated unit requiring the use of considerable independent judgment, originality, and application of management and human relations skills.


**DUTIES, ROLES, AND RESPONSIBILITIES (Essential Functions)** :

This position directly supports the Foundation ED and Alumni Manager collaborating with the ED to coordinate the management/function of the Foundation office. This includes all scheduling, meeting preparation, project assignments, donor meeting preparation, travel coordination and office management. The incumbent interacts with a broad constituency, both internal and external, including the donors, faculty, students, community leaders, and staff including the College Presidents office and members of Cabinet. Will work independently on projects. Maintains strict confidentially at all times and requires work in a high pressure, time sensitive environment while projecting a calm, customer-service focused demeanor. Requires responding to a wide array of inquiries in a timely and sensitive manner. Includes regular interaction and appointment setting with donors, Trustees and community members.


Provide project leadership; independently assist with directing the operational, financial, personnel and planning functions of a complex designated unit; serve as mediator with other College departments, corporate partners, donors, external individuals and groups.


Research, conduct or respond to complicated inquiries and situations relative to the designated unit or program; analyze and integrate statistical or other assistive data; prepare detailed reports and documentation.


May arrange or conduct symposia, conferences and meetings including design and implementation of agenda, selecting speakers/facilitators, publicity and marketing; conduct related follow-up assessments.


Oversee management of unit/program files and records; serve as primary resource person in interpreting policies and procedures.


Initiate, manage and control designated planning or budgetary projects relative to the unit or program; may solicit and manage funds for research or related agreements.


Establish or revise policies, systems, methods and procedures; prepare related documentation including the design and implementation of computer programs, as appropriate.


**SUPPLEMENTAL FUNCTIONS:**

Serve on College or external committees representing supervisors or programs position, as directed. Develop policies and procedures, and document same. Interpret college policies and procedures. Perform advanced research; organize resources and establish priorities. Investigate, analyze information, draw conclusions and make recommendations based on data or findings.


**SUPERVISORY DUTIES** :

May act as supervisor and is accountable, including signature authority, for actions and decision that directly impact pay, status and tenure of full-time employees.


Responsible for training and providing daily direction. Responsible for performance evaluations, timecards, leave and recommendation for hire and termination. Maintain effective supervisory relationships including organizing, prioritizing and scheduling work assignments.


**MINIMUM JOB QUALIFICATIONS:**

Equivalent combination of education and/or experience:


**EDUCATION:**

Associates degree or 2 years of related work experience


**WORK EXPERIENCE:**

plus five (5) years of related progressively responsible experience.


**KNOWLEDGE, SKILLS, AND ABILITIES:**


+ Basic, routine and advanced (HTML, web page creation and site maintenance) computer programs and software.

+ Basic, routine and advanced records maintenance.

+ Basic, routine and advanced office management principles and practices.

+ Finance, accounting, budgeting and cost control procedures.

+ Organizational structure, workflow and operating procedures.

+ Project management principles, practices, techniques and tools.

+ Human resources concepts, practices, policies and procedures.

+ Basic, routine and advanced laws, regulations, methods and techniques.

+ Basic knowledge of non-profit functionality and nuances.


**SKILLS AND ABILITIES TO:**


+ Communicate effectively both orally and in writing with a wide range of individuals and constituencies.

+ Work as a team member and foster a cooperative work environment.

+ Planning and organizational skills including attention to detail.

+ Problem solving and analytical skills.


**WORKING ENVIRONMENT:**

No major sources of discomfort, standard office environment.


**Staff Executive:** functions under very limited supervision; independently makes decisions which substantially impact operations within and outside designated unit/program. Performs problem resolution, and provides interpretations and advice to supervisor. Participates in fiscal planning activities; determines or revises policies, systems, methods and procedures. Analyzes and provides interpretation of complex statistical data. Administratively supervises support staff.
