**Description:**


1. Position Title: **Talent Acquisition Assistant**


2. # of Positions: **2**


3. Length of Contract: **One year**


4. Hourly rate: **$22-$23**


**Responsibilities:**


+ Contact candidate(s) within 48 hours of receiving schedule request and process all schedule requests within 3 days of receipt. Arrange candidate domestic and international travel, accommodations, etc. Process expense reimbursements through Debit Card process prior to interview.

+ Send interview evaluation forms to interview team 48 hours prior to interview. Ensure schedule accuracy and send interview schedules to interview team and candidate 5 days prior to interviews. Continuous updates to the recruiters regarding interview schedule status. Engage recruiter when obstacles occur in scheduling process. Ensure interview schedules and receipts are accurately captured to ensure compliance to federal mandates (e.g. Sunshine Act and OFCCP requirements).

+ Update ATS (Taleo) candidate statuses and upload interview schedules

+ Regular interactions with hiring managers and administrative assistants for all levels of the organization, including VP and C-Suite admin staff.

+ Responsible for candidate Pre-Employment Screenings including Background Checks and Drug Screens.

+ Process drug screen requests within 24 hours of receipt and update recruiters on results.

+ Contact candidates for outstanding documents within the background check and adjudicate within the timely manner.

+ Provide high touch customer service to candidates, hiring managers and administrative staff, ensuring a positive candidate/hiring manager experience.

+ Shares current scheduling volume each week and assists colleagues when appropriate to ensure work is evenly distributed among the coordinator group.

+ For high level candidates (grade 24+), personally escorts candidates through their interview day to maximize the opportunity to provide a world-class candidate experience.

+ Leads hiring events (onsite or offsite) for complex hiring initiatives with high visibility to the business. Responsible for scheduling, coordinating travel, onsite check-in, event planning, meals, escorting candidates, time management, reimbursement of expenses, and arranging debrief session.


**Qualifications:**


+ Bachelors degree required. Degree in Human Resources is preferred.


+ Minimum of 2 years of previous experience in staffing coordination or in a HR environment.

+ Excellent communication and organizational skills are required to interact extensively with personnel at all levels within the company.

+ Demonstrated strong communication skills, written and oral. Excellent customer service skills, including: phone etiquette, attention to detail & follow-up, communications skills

+ Effectively handles multiple tasks and ability to prioritize workload.

+ Proficiency in databases and ability to use MS Office products.


**Additional notes from the hiring manager:**


+ TA Coordinators scheduling experience, can navigate Outlook and scheduling tools, work

+ Detail oriented position, relationship building aspect, working with admins, very schedule heavy, scheduling interviews, phone interviews, scheduling virtually at this time, but could be onsite later in the year.

+ Familiar with booking travel, hotels for onsite interview of candidates

+ Managing pre-employment and drug screen administration

+ Supports 4-5 recruiters

+ Well organized and self-manage their time, time management

+ Re-prioritize, thinking on your feet,

+ Training in place to teach the tasks but also have to be a self-starter to keep up with the pace

+ Scheduling experience does not have to be directly related to HR

+ Great step into HR and to learn about Abbvie and HR business

+ Could be managing 15 interviews a week up to 40-45 on the very high end

+ Volume comes in waves

+ Be able to navigate low to high volume workload

+ 50 60 on high end in screening process, again comes in waves

+ Need individuals who can perform on this high end even though it is not this intense all the time

+ Average 40 in process.

+ Internships in HR, as a fresh grad would want some of this experience. Retail and/or customer service experience. Role is not difficult but the tough part is time management and handling the intensity of it at times.

+ Very entry level into the organization, really learning the business, relationship building, customer service is really important to have demonstrated and is what will help them in this position going forward.

+ Taleo experience would be nice, but can be taught this is not a requirement

+ Coordinating interviews for the TA team, working closely with admins, screening coordination for onboarding candidates, possibly travel once back on site.

+ Needs strong communicator and comfortable working closely with hiring managers.

+ Bachelors degree in HR or related field. Open to other disciplines.

+ Volume fluctuates, be able to handle a high volume, managing changing priorities on a day to day basis.

+ Detail oriented. Strong interpersonally, ability to articulate, written and verbal comm skills.

+ Managing priority. Proactive, quick on your feet being able to respond quickly as things arise.

+ Looking for someone who would like to build their career w, inspired and motivated. Someone with new ideas to drive to make a difference.
