We are currently seeking a **Scientific Technical Writer** to work onsite with the National Institutes of Health in **Research Triangle Park, NC.**

**OVERVIEW.** This is a long-term, open-ended contract position which offers:

**TASKS/SERVICES.** The contractor shall:

+ Handle correspondence from contributors to _Environmental Health Perspectives_ ( _EHP_ ):

+ Provide rapid and professional responses to queries submitted through the Editorial Manager (EM) tracking system and the _EHP_ online mailbox or forward correspondence to appropriate _EHP_ staff when necessary.

+ Notify the appropriate _EHP_ staff of serious or recurring issues or concerns raised by contributors or potential contributors (authors, reviewers, editors) and readers.

+ Ensure that all correspondence related to individual manuscripts is documented in EM.

+ Serve as an administrator and maintain a high level of expertise regarding the EM manuscript tracking system:

+ Identify recurring problems and recommend improvements to the EM system to address them, including changes to email templates, automated deadlines and notifications, and embedded instructions and training materials provided to contributors.

+ Assist users with account creation and use of EM.

+ Develop and improve EM documentation and assist with EM training sessions targeted to authors, reviewers, and editors.

+ Maintain a high level of proficiency in the use and administration of the EM tracking system; notify _EHP_ editors of changes to the system and new options available for implementation, and summarize information provided in release notes; participate in training provided by Aries Systems.

+ Perform testing and implement changes to EM as requested by _EHP_ editors and ensure that changes will not disrupt existing processes and that they are appropriately documented for contributors.

+ Maintain an inventory of current EM email templates and update EM email templates upon request.

+ Maintain a record of current default settings, deadlines, and automated notifications in EM and provide documentation and feedback regarding EM settings to _EHP_ staff upon request.

+ Communicate problems and concerns regarding EM to the Aries contract COR.

+ Conduct periodic audits of user records, update user information and merge redundant records as needed.

+ Coordinate routine manuscript submission and peer review processes:

+ Perform technical checks of new and revised submissions to confirm that they meet basic requirements for submission to EHP and are correctly classified with regard to discipline, topic area, study location, and corresponding authors country of residence.

+ Correspond with authors to explain and assist with technical check failures as needed.

+ Set appropriate metadata and comments in EM based on the content of the submitted paper, identifying supplemental materials, potentially missing documents, etc.

+ Investigate manuscripts flagged because of a high EM Duplicate Score to identify authorized or unauthorized submission of previously rejected manuscripts, document the investigation and notify the appropriate editor when necessary.

+ Upon request, assign new submissions to the appropriate editor according to topic or article type.

+ Send routine reject without review decision emails upon request by EHP editors.

+ Perform and evaluate iThenticate scans of manuscripts selected for peer review to identify potential problems with duplicate publication or plagiarism, investigate previous publications identified by the scan, provide documentation and notify the appropriate editor when necessary.

+ Maintain regular contact with Associate Editors (AEs), track dates when they will be unavailable, correspond directly with AEs when AE activities or decisions are delayed, and notify the appropriate editor when AEs decline invitations or are non-responsive.

+ Route manuscript revisions to the appropriate editor chain, depending on the previous decision that was rendered.

+ Track the status of all manuscripts submitted or under review for EHP; identify and investigate delays in manuscript assignments or reviews, revisions, decisions, or processing prior to a final decision; and, as appropriate, notify the handling editor or EIC of serious problems and problems that cannot be resolved without their assistance.

+ Respond to author and reviewer requests for short extensions ( 1 week), notify the appropriate editor of repeat requests or requests for longer extensions and proceed as directed.

+ Conduct periodic audits of manuscript records, correspond with authors and withdraw incomplete or inactive submissions as appropriate.

+ Anticipate or quickly identify problems with the peer review process before they have an adverse effect on contributors, proactively implement solutions when possible, and notify handling editors or the EIC, as appropriate. Examples include anticipating delays in peer review during holiday seasons, notifying editors about temporary shortages of available AEs, and notifying editors and the Aries contract COR about acute problems with the EM tracking system.

+ Provide regular and _ad hoc_ reports to _EHP_ concerning submissions, peer review, and editor/contributor performance:

+ Prepare and distribute reports on new submissions, pending decisions, and current AE availability and workloads for manuscript review meetings, and prepare and distribute regular reports on triage decisions.

+ Generate and distribute regular automated reports from EM on manuscript submissions and peer review, including numbers of submissions, article types, topics, and the country of origin of submitted manuscripts and manuscripts with a final decision; time to first decision, time to final decision, and numbers of revisions; Associate Editor (AE) assignments and availability; final decisions by AE and topic; reviewer and AE performance.

+ Generate custom and ad hoc reports from EM upon request.

NOTE: Regarding the above tasks, all final decisions based on any of these tasks will be reviewed and approved by the appropriate NIH government official managing these activities and representing the Government.

**REQUIREMENTS.** The contractor must have:

+ Bachelor degree plus 4 years experience or Masters degree plus 2 years experience.

+ Excellent written and verbal communication skills.

+ Strong analytical, organizational and time management skills.

+ Proficiency with Microsoft Word, Microsoft Excel, Adobe Acrobat, and email clients such as Microsoft Outlook.

+ Prior experience with a manuscript submission and tracking system (e.g., Editorial Manager, ScholarOne) or a similar content management system used for complex project management and tracking is preferred.

+ Familiarity with scholarly publishing is preferred.
