Working under moderate supervision, provide clerical support to department. This includes quickly and accurately transferring data from a variety of sources, including migrating data from various websites out of the old CMS into the new system, Drupal.

POSITION OBJECTIVE

Working under moderate supervision, provide clerical support to department. This includes quickly and accurately transferring data from a variety of sources, including migrating data from various websites out of the old CMS into the new system, Drupal. The incumbent must be able to correct existing data, update and be comfortable working independently with large amounts of data. The incumbent must have an eye for detail - someone who will double-check all work (their own and others-), and also seek out information that may not be readily available. The incumbent must be able to juggle multiple items simultaneously and thrive in a fast-paced environment.

ESSENTIAL FUNCTIONS .

1. Migrate web content, including text, images and documents. Enter data into appropriate fields; databases, records and files.

2. Verify data by correctly checking and comparing source documentation.

3. Correct and modify inaccurate files and records.

4. Update records with new information as it becomes available.

5. Comply with security backups and regular checks to ensure data is saved and stored properly.

6. Initiate and compose routine correspondence.

7. Work as part of a team in order to achieve a common goal.

REQUIRED SKILLS

1. Excellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel, Access, etc.)

2. Excellent computer skills. Working knowledge of office equipment and computer hardware and peripheral devices.

3. Superior data entry skills.

4. Superior attention to detail.

5. Excellent spelling, grammar, and punctuation skills, as well as strong reading comprehension.

6. Able to quickly and accurately type and enter data; knowledge of touch typing system preferred.

7. Ability to work within a content management system, Drupal preferred.

8. Experience with Siteimprove preferred.

9. Ability to work under pressure to meet deadlines.

10. Excellent communication skills: Understanding written sentences and paragraphs in work related documents. Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times. Communicating effectively in writing as appropriate for the needs of the audience. Talking to others to convey information effectively.

11. Excellent listening skills. Ability to actively listen and be responsive to verbal and non-verbal clues.

12. Ability to actively learn - understanding the implications of new information for both current and future problem-solving and decision-making.

13. Strong organizational skills to manage multiple projects at one time.

14. Ability to meet consistent attendance.

15. Ability to interact with colleagues, supervisors, and customers face to face. Ability to work both independently and as part of a group.

16. Ability to respond to difficult, stressful or sensitive interpersonal situations in ways that reduce or minimize potential conflict and maintain good working relationships among internal and external customers. The ability to recognize awkward or potentially embarrassing situations which sometimes arise. Always aware of tone and careful choice of words, while at the same time ensuring that the intended message is clear, polite and readily understood.

18. Ability to develop in-depth understanding of client needs in order to be more helpful. The ability to consider how different audiences are likely to respond and choose the best method of communicating the message to each audience.

19. Ability to maintain confidentiality.

20. Strong knowledge of AP Style preferred.

21. Knowledge of web writing best practices and standards preferred.

22. Familiarity with federal Americans with Disabilities Act (ADA) compliance guidelines preferred.
